Checklist: The vehicle has no service task
Go through the points in order. In most cases, the cause is found in one of the first four points.
-
Is the vehicle assigned to a maintenance task of the type Service?
Go to Fleet vehicles → Maintenance, click the pencil next to the task and then the pencil next to the vehicles. Select the Assigned to the task filter to see whether the vehicle is included. -
Does the vehicle have a service interval?
Check Interval in months and Interval in kilometres in the Inspection and service box in the vehicle's master data. -
Has a latest service been registered?
Go to Fleet vehicles → Inspection and service. If there is a dash (–) under Next service, a starting point is missing. Click Add under Add service. -
Is the vehicle close enough to its next service?
A task is only generated when the vehicle is within the handling parameters, e.g. 90 days or 1,000 km before the next service. If the next service is still some time away, it is normal that there is no task yet. -
Is the task further ahead than the display period?
If Display of future tasks is set to 365 days and the vehicle has an interval of 24 months, the task is only shown once it is less than 365 days in the future. -
Is the vehicle active?
Vehicles with the status Sold or Inactive do not have new tasks generated. -
Was the change made recently?
New tasks may take up to approximately 10 minutes to appear. Changes to settings and a new task after a completed service may take up to 24 hours.
Example: A vehicle was serviced 8 months ago and has since driven 8,500 km. The interval is 24 months or 40,000 km. There are therefore 16 months and 31,500 km until the next service, which is why there is no task yet.
Frequently asked questions
Should a service be registered both under Tasks and under Inspection and service?
No. If the vehicle is linked to a service task, the service is registered only on the task under Fleet vehicles → Tasks. When the task is saved as Completed, the service is automatically added to the history. Add service is only used to register a starting point.
Why does the date on Inspection and service differ from the date on Tasks?
Next service on the Inspection and service page is calculated based on months only. Scheduled date on the Tasks page also takes kilometres driven into account and may therefore be earlier. Planning should be based on the date on the Tasks page.
The vehicle was serviced before the scheduled date. What should I do?
Open the task under Tasks, enter the actual date in Reading date along with the odometer reading, and save with the status Completed. The next service is calculated from the date entered.
Why are there fewer tasks than vehicles on the maintenance task?
The Task assigned column shows how many tasks have currently been generated, not how many vehicles are linked. Vehicles that are not close to their next service do not yet have a task. Use the checklist above if you are unsure about a specific vehicle.
Why does a vehicle have several tasks?
- Completed tasks are kept as history. A vehicle may therefore have one completed and one newly scheduled task.
- If the vehicle is assigned to several maintenance tasks, e.g. service and cleaning, there may be several active tasks at the same time.
- If the vehicle has been assigned to two service tasks by mistake, two tasks are generated each time. Remove the vehicle from one of them.
A vehicle has been sold. How is it removed?
- Set Status to Sold in the vehicle's master data.
- Remove the vehicle from the maintenance task under Fleet vehicles → Maintenance.
- Also remember any GPS tracker and licence.
Can a vehicle's tasks be viewed in one place?
Yes. Open the vehicle under Vehicles, and select the Maintenance tab. All tasks assigned to the vehicle are shown here, both scheduled and completed.
How do I get an overview of scheduled services?
Go to Fleet vehicles → Tasks, select a period, and filter Task status by Scheduled. Click Excel to export the list.
How is the workshop notified that a vehicle is due for service?
- The workshop can log in and see the tasks assigned to them under Tasks.
- Email notifications can be set up under System setup → Fleet management → Notifications and Create custom notifications.
