Setup Steps for Administrators
As an administrator, follow these steps to set up time tracking:
Assign licenses for Time Tracking
Create Activities
Create weekly/timesheet templates for employee groups
Assign one or more employees as approvers for time tracking

1. Assign Licenses for Time Registration
Before using time tracking: Ensure you have purchased Time registration licenses.
Navigate to: System Setup > Licenses.
Assign licenses according to your company’s needs.

2. Create Activities
Activities define the types of work employees can log.
Steps: Navigate to: System Setup > Time Tracking > Activities.
Create typical activities for your company, for example: Administrative tasks, Physical work, Driving, Customer visits, Warehouse work, Meetings, Paid sick leave, Unpaid sick leave.

3. Create Weekly/Timesheet Templates
A weekly template applies to a specific employee group (e.g., salaried staff, hourly workers, young workers). Steps: Navigate to: System Setup > Time Tracking > Timesheet Template. Create a template for the employee group. Once set up, the system generates weekly timesheets automatically. Employees can view and edit their weekly timesheets as needed.

4. Assign Approvers for Time Registration

Before configuring all employees: Navigate to: System Setup > Employees > [Name] > Edit Employee. Assign one or more employees who will approve all timesheets submitted by other employees.

5. Configure Employees
Steps: Navigate to: System Setup > Employees > [Name] > Edit Employee.
Ensure the following details are set correctly:
Access to Time Tracking,
Assigned approver,
Time Tracking license.
6. Add New Employees
Navigate to: System setup > Employees > Create
When to use:
If employees have never used Mileage Book before and now need access to the time tracking module, they must first be created in the system.
How to do it:
Click Create.

Fill in the required information:
Name
Department
Email
Approver
License (can be assigned later during activation)
Click Save to create the user.

Activate the user:
Assign a license.
Choose whether the user should receive a welcome email.
Select the start week for time tracking (only the current week or future weeks – past weeks cannot be selected).
Result:
The user is now created, activated, and ready to use the time tracking module.
