How to find the suppliers
Under Suppliers you create the companies that deliver products and services to your fleet, for example fuel cards, charging cards, leasing of vehicles and assets. Once a supplier is created, you can select it, for example when you create a fuel card or register how an asset was acquired.
1. Select System setup in the menu on the left.
2. Click Fleet management.
3. Find Suppliers and click Go to page.
The list shows all your suppliers with address, contact person, products/services and status.
Create a supplier
1. Click Create.
2. Enter the supplier's company name. The field is required.
3. Optionally fill in the address and the contact person's name, phone number and email.
4. Tick the products and services the supplier delivers. You can select several.
5. Click Save.
To edit a supplier, click the pencil next to the supplier.
Products and services
The ticks under Products / services determine where the supplier can be selected in Mileage Book. A supplier only appears in the list when it has the matching product or service.
Fuel cards, charging cards and charging stations
When you create a card under Fleet vehicles > Fuel Card, you can only select suppliers with the selected type, for example Fuel card. If the supplier is missing, you can create it directly with the + Create button next to the field.
Assets
On the Acquisition tab of the asset, you specify whether the asset was bought, leased or rented, and select the supplier. If the asset was bought, you can for example select suppliers with Sale of asset. The supplier's contact details are then shown directly on the asset.
Other products and services
Insurance, Leasing of vehicles and Service agreement asset are values you fill in yourself when you update the information on your vehicles and assets, unless you have an integration that does it.
Deactivate or delete a supplier
Deactivate
Click the Active button under Status to deactivate the supplier. The button then changes to Inactive.
A deactivated supplier is still shown on the cards and charging stations it is already linked to, but it cannot be selected on new ones.
Delete
Nothing is deleted in Mileage Book unless you use the trash can. If the trash can is black, the supplier can be deleted. If it is grey, it cannot be deleted.
