How to find the fields
If you need information that Mileage Book does not have by default, you can create custom fields. Under Field usage you decide how the fields are used, for example in filters, in history or at booking.
Go to System setup > Fleet management. Under Fields you find Field usage and Custom fields. See Fleet - Settings overview.
Create custom fields
Custom fields are gathered in field groups. The name of the field group is shown as a heading above the fields.
1. Click Go to page under Custom fields, and click Create.
2. Name the field group. Optionally enter a help text, which is shown as a question mark next to the heading.
3. Select under Placement of field group where the field group should be shown: Vehicle, Vehicle orders, Employee or Asset. If you select Vehicle, you also select the placement on the fleet car page, for example Master data. The field group is placed at the bottom of the selected pages.
4. Click Create under Fields, select the field type and fill in the field.
5. Click Save.
The fields in the screenshot are examples. You give your fields the names you need, for example “Inspection responsible”.
Field types
- Date field
- Field for numbers
- Field for numbers with decimal
- Text (numbers and letters)
- 2 lists with dependencies
- Show values just as often
- Select from list
If you have users who use Mileage Book in other languages, custom fields should be written in English. Custom fields are not translated automatically when the language is changed.
When the field has been created, you must activate it under Field usage if, for example, it should be possible to filter on it.
Field usage
Under Field usage you decide whether a field should be shown in the history, be used in filters, or be included when booking vehicles. This applies to both standard fields and custom fields.
1. Click Go to page under Field usage, and click Create.
2. Select the area, for example Master data (Vehicle) or Own fields, and then select the field.
3. Under Show field in, select whether the field should be shown in History, Filters or At booking.
4. Click Save, or click Save and add another to continue with the next field.
If you cannot find the field, the wrong area may be selected. The field may also already be in the list. In that case, click the pencil next to the field to edit it.
