In Mileage Book there are three different ways to register trips. You can choose the method that best fits the way you work.
1. Automatic registration with a GPS tracker
With automatic registration, you use a GPS tracker from Mileage Book.
You will receive a GPS tracker that is connected to the vehicle’s OBD port. Once the tracker is installed, your trips will be registered automatically.
The system will then:
• register the start and stop time
• fill in the from and to addresses
• draw the route on a map
All trips registered via a GPS tracker installed in the vehicle will first appear in “Unprocessed/Review”. From here you can review the trips and decide whether they should be registered as business trips or private trips, as well as add a purpose and make any necessary corrections.
2. Manual start/stop registration in the app
You can also register your trips manually using the start/stop function in the app.
To do this:
Open the Mileage Book app
Press Start when you begin your trip
Press Stop when you reach your destination
The system will then automatically:
• register the start and stop time
• fill in the from and to addresses
• draw the route on the map
Trips registered using the phone’s GPS (start/stop) will automatically be assigned the trip type that was last selected in the app, for example business or private.
If the trip is a business trip, you must add the purpose of the trip and press save.
3. Manual entry of trips
If a trip was not registered using the two other methods, you can always enter the trip manually.
This can be done both in the app and by logging in to your account via the website for Mileage Book.
To do this:
Go to the menu Logbook
Enter the from and to address
The system will automatically calculate the distance between the addresses
Select whether the trip is a business trip or a private trip
Add the date and purpose (for business trips)
Press save
Manual entry is typically used if a trip was not registered automatically or via start/stop.
FAQ about creating trips in Mileage Book
Can I create recurring trips automatically?
It is not possible to create recurring or repeating trips automatically in Mileage Book. If you frequently drive the same route, you can instead copy a previous trip and adjust the date or other details before saving it.
Can I register multiple stops on the same trip?
It is not possible to register multiple stops within a single trip. If you have several destinations on the same route, you should instead create multiple separate trips, for example from A to B and then from B to C.
Can I change a trip after it has been saved?
Yes, you can edit a trip after it has been saved. You can change details such as addresses, date, time, purpose, or trip type as long as the trip has not been submitted in a report for approval.
Can I create trips for previous dates?
Yes, you can create or register trips for previous dates if you forgot to record them on the same day. Simply select the correct date when creating the trip.
Why does the system calculate a different distance than my car’s odometer?
The distance in Mileage Book is calculated based on the route shown on the map between the entered addresses. Small differences may occur depending on route selection, map data, or changes in roads. If necessary, the trip can be edited so the route better matches the actual route driven.
