How to find the page
On the Settings page you define the general standards for fleet management. Review the settings when you start using Fleet Management, so they match your fleet. Some settings are only shown if your company has the related module.
1. Select System setup > Fleet management in the menu on the left.
2. Click Go to page under Settings.
3. Make your changes and click Save.
Each box on the page has a Log link, where you can see previous changes to the setting.
Identification, default department and creation of vehicles
Identification of the fleet
Select one or two fields used to display vehicles and assets in Mileage Book, for example Name and Vehicle number.
Default department
Select the department that new vehicles from leasing companies or vehicle data providers are assigned to, if they do not already have a department.
Creation of vehicles
Specify whether vehicles from vehicle data providers should be created automatically in Mileage Book. You can select No, Yes (with license) or Yes (without license).
Tasks and dashboard
View of future tasks
Tasks can be scheduled indefinitely into the future. Specify how many days ahead tasks should be visible in Mileage Book.
Select Create tasks automatically from defects and deficiencies reports if a task should be created when an employee submits a defects and deficiencies report.
Dashboard
Under Leasing you specify how many percent a leasing vehicle may exceed or fall below the agreed kilometers. Under Speeding you specify the highest speed in km/h that the fleet's vehicles may drive. The values are used on the Dashboard.
Action center
Receive message when
Select the events that should create a message in the Action center, for example when a vehicle is due for inspection or service, when a leasing contract is expiring, or when a tracking device sends no signal. Some messages are also sent by email, and some cannot be deselected, for example when a vehicle is deregistered with a GPS tracker installed.
You can also be notified when a tracking device's external or internal battery has a voltage below the threshold. This can show, for example, that the vehicle's battery is running low.
Handling parameters
Specify how many days before a leasing contract expires, an inspection or a service the vehicle should be highlighted. For service you can also specify a number of kilometers. You can also be notified when a GPS tracker has not called in for a number of hours (minimum 3 hours). The message is only sent within the vehicle's time schedule.
Green dashboard
Driving pattern
Specify how many minutes a vehicle may idle at a time (minimum 3 minutes), and the upper limit for harsh acceleration, harsh braking and quick cornering in m/s².
CO₂ point
Specify the maximum number of points a vehicle may have per rolling 30 days to be green or yellow. The limit for red is calculated automatically.
Read more in Green dashboard setup.
