The following article only applies to the administrator / Fleet Administrator.
1. Purchase and Installation of Key Cabinet
When you wish to acquire a key cabinet, a purchase price and a installation fee are required. This ensures a reliable transition to using the cabinet, and provides a guarantee that the cabinet is installed correctly.
The cabinet requires both power and a wired internet connection to function properly.
Please be mindful of the placement:
The cabinet must not block emergency exits.
It should be located in a place that is practical and safe for users to access.
The cabinet comes with the number of rows that have been ordered. This may include:
One or more rows for pins
The number of pins corresponding to the rows
Wires for each individual pin
Numbering on the wires, so users can see which slot each vehicle key should be placed in
Regular key to unlock cabinet in case of emergencies (Mileage Book will keep a spare).
2. Activation of the Integration
Once your company has purchased the solution, Mileage Book automatically requests a username and password from Creone.
These credentials are added for you under:
System Settings > Fleet Management > Integration > Creone
These details must not be changed manually.
If they are altered, the connection to the key cabinet will no longer function.
3. Access to Key Management
Once the connection is properly established, a new menu item will appear in Mileage Book:
Fleet Vehicles > Key Management
Here you can:
View all your key cabinets
Manage keys and their assignments
Create and edit access groups
Control who has access to which vehicle keys
This will be your central location for managing all key-related operations.
4. Assign Vehicles/Vehicle Keys to Specific Pins in the Cabinet
In the Key Management menu, you can manage which vehicles and corresponding keys are assigned to each pin. Once the cabinet has been created in the system, all pins will automatically appear in the list. From there, you simply assign the correct vehicles to the corresponding pins.
By clicking the pencil icon, you can edit either the cabinet’s name or the assignment of pins to vehicle keys (highlighted in yellow in the image below).
Alternatively, you can click on the cabinet’s name to expand and see which vehicle keys are assigned to the cabinet, and edit them by clicking the pencil icon on the far right (highlighted in green).
Below you can see key cabinet details when they need to be edited.
