What is Damages & Defects used for?
Damages & Defects collects all damages, defects and deficiencies on your fleet vehicles. Employees can register them directly in the Fleet app, and as a fleet manager you can create, follow up on and close the cases on the web.
1. Select Fleet vehicles in the menu on the left.
2. Click Damages & Defects.
Filters and columns
At the top you can search by claim number, route group, route and report. You can also filter directly in the columns, for example by period, type, status, vehicle, employee and responsible fleet manager.
The list shows the date, report, status, what the damage or defect consists of, whether it is sent to the insurance company, costs, vehicle, employee and responsible fleet manager.
Excel export
Click Excel to download the damages and defects in the list with your current filters. The file contains these columns:
- Date
- Report
- State
- The damage consists of / Defects and deficiencies
- Send to insurance company
- Vehicle
- Employee
- Responsible fleet manager
- Claim no.
- Total
- Estimated total
- Our costs
- Covered by deductible
Create a damage report
1. Click Add.
2. Fill in the tabs of the damage report: Information, About the damage, Location, Personal injury, My vehicle, Counterparty, Witnesses and Drawing.
3. Go to the Submit tab to submit the report.
Case handling
On the Information tab, you as fleet manager fill in the case handling:
- Fleet manager responsible for the case.
- Case status: In progress or Closed.
- Our insurance company and Fault.
- Extent of damage: Minor, Serious or Critical.
- Send to insurance company: Yes or No.
- Notes.
- Costs: tick Specify the costs of the damage to fill in estimated total, total, our costs and whether the damage is covered by the deductible.
Registration from the Fleet app
Employees can register a damage or defect from the Fleet app: they select the vehicle, go to Damages & Defects, choose whether it is a damage or a defect, describe it and add photos if needed. The registration then appears in the list here.
Insubiz integration
If you use the Insubiz integration, damages can be sent directly to the insurance company with description, time and photos.
