Available to subscription: Fleet Management
User role: Fleetmanager
Create the employee
In fleet management, employees are connected to the fleet in several ways: through their permissions, as user of a vehicle, as responsible for an asset or a fleet group, and when they are assigned tasks. This article gives an overview with links to the detailed guides.
The employee must be created and have a user license before you can give fleet permissions. See Adding employees as an administrator.
Fleet permissions
Go to System setup > Employees and click the pencil next to the employee. Under Permissions, select Is Fleet Manager or Is fleet agent. Under Roles you can give the employee a user defined role.
For a fleet agent, select which departments the person has access to, or select Access to all departments. Select Can overlap bookings if the employee may make bookings that overlap each other.
Read about the difference between the roles in Fleet - User permissions and about custom roles in Fleet - User defined roles.
Connect employees to the fleet
Vehicle
Assign a fleet car to an employee on the vehicle's master data under Fleet vehicles > Vehicles. An employee can only be assigned to one fleet vehicle at a time. See How to Assign a Vehicle to an Employee in Mileage Book.
Asset
Open the asset under Asset > Assets. Under Responsible for the asset, click Add and select the employee and period. Under Associate asset to you can also associate the asset with a project or location, an employee or a vehicle for a period. See Fleet assets.
Fleet groups
When you create or edit a fleet group, you can select a responsible employee for the group. See Fleet - Fleet groups.
Tasks
Tasks on vehicles and assets can be assigned to an employee. In the task overview you can see who the task is assigned to. See Create and edit maintenance tasks and Perform tasks.
Employee tags
Employee tags are used to identify who is driving a pool car. See Employee tags (RFID, iBeacon and Eddystone).
