What is the Insubiz integration?
Insubiz manages and reports vehicle damages to the insurance company. With the integration, damages are reported quickly and automatically from Mileage Book to the insurance company. This gives a more efficient process and less manual work. The integration is an add-on to fleet management.
In collaboration with Insubiz, Mileage Book has developed an app where employees report a damage in a few clicks, right when it has happened. For example, whether anyone was injured, whether the police were involved and what happened to the vehicle. See a demo of the app in the video.
What the integration does
- Damage data is automatically sent from Mileage Book to Insubiz.
- Damage types are retrieved from Insubiz.
- Vehicle data is synchronised continuously when changes are saved.
- Employees can report damages quickly in the app.
How to get started
Order the integration
Contact Mileage Book to have the Insubiz integration activated on your account.
Insert the API key from Insubiz
1. Select System setup in the menu on the left.
2. Click Fleet management.
3. Open Insubiz Integration.
4. Insert your API key from Insubiz.
5. Create the connection.
When the API key is saved, the connection is created automatically.
Automatic synchronisation
When the connection is created, Mileage Book automatically retrieves the damage types from Insubiz. You find them under System setup > Fleet management > Damage report list. You do not need to do anything else to use the integration.
Customer groupings
If you work with several customers in Insubiz, you can create groupings, for example fleet cars, fleet machines, fleet equipment or other.
1. Go to Insubiz Integration.
2. Click Add.
3. Create the customer with the same name and customer number as in Insubiz. Name and number must match exactly, otherwise the synchronisation will not work.
Select default customer
Mark one customer as primary (default). It is used automatically for damage reporting.
Data that is synchronised
Data is automatically synchronised to Insubiz every time changes are saved in Mileage Book. Vehicles created in Mileage Book are also synchronised automatically. Examples of fields (Mileage Book → Insubiz):
- Insubiz customer → Customer
- License plate → Reg. no.
- Fleet group → Primary user
- Department → Secondary user
- Brand / Model → Brand / Model
- Year → Year
- VIN → VIN
- Leasing data → Addition / Disposal
- Comment → Note
You get the full list of data that can be synchronised in the documentation for the integration.
Good advice
- Use only one fleet group per vehicle.
- Make sure the data is correct, as it is sent directly to Insubiz.
- Check that customers match 100% between the two systems.
