If you have access to fleet management in Mileage Book and the role of fleet administrator, you can find the “Trips without employees” page in the left-hand menu.
This feature is especially relevant for pool cars, where multiple employees share the same vehicles.
What are “Trips without employees”?
The “Trips without employees” page provides an overview of all trips that have been registered in the system where no employee has been assigned to the trip.
This means that a vehicle has been driven, but no employee checked in to the vehicle before the trip started.
This most often occurs with pool cars, where several employees use the same vehicle.
Why do trips without employees occur?
Trips without employees typically occur when:
A pool car has a GPS tracker installed
The company uses stickers, buzzers, or booking to identify drivers
An employee forgets to check in to the vehicle before starting the trip
When this happens, the system will still register the trip via the vehicle’s tracker, but the trip will not have an employee assigned to it.
What can the fleet administrator do?
As a fleet administrator, you can use the “Trips without employees” page to:
Get an overview of trips without driver registration
Identify missing check-ins on pool cars
Assign the correct employee to the trip
This helps ensure accurate mileage tracking and documentation, especially when multiple employees share the same vehicles.
