The Damage & Defects module in Mileage Book allows employees to register damages, defects, or other observations on company vehicles. This feature is typically used to document issues with a vehicle, giving the company a clear overview of vehicle conditions and ensuring that any damages or defects are addressed promptly. Registrations can be made directly in the app by employees using the vehicle.
What the module can be used for
The Damage & Defects module can be used to register:
Vehicle damages
Technical defects or problems
Missing parts or wear
Other observations that should be documented
When a registration is created, it is stored on the specific vehicle, allowing administrators or responsible personnel to follow up on the issue. This makes it easier to monitor vehicle condition and ensure that problems are handled promptly.
How to register a damage or defect
An employee can register a damage or defect directly from the app in Mileage Book.
Follow these steps:
Open the Mileage Book app
Select the vehicle you are using
Go to the Damage & Defects section
Determine whether the registration concerns a damage or a defect/issue with the vehicle.
Create a new registration
Describe the damage or defect
Optionally add photos or additional information
Save the registration
The registration will then be stored on the vehicle, so it can be viewed by relevant personnel in the system.
Overview of registered damages and defects
All registered damages and defects are saved in the system and linked to the specific vehicle.
This allows administrators to:
View the history of damages and defects on the vehicle
Follow up on registered issues
Document the vehicle’s condition over time
This makes the module a valuable tool for managing the operation and maintenance of company vehicles.
Integration with Insubiz
If the company uses the Insubiz integration, registered damages and defects can be easily transferred directly to the insurance company. This means that information such as descriptions, timestamps, and any photos can be sent to the insurer, making the claims process faster and more straightforward.
