This article describes the available CSV extracts from the Employee page in the system. The extracts allow administrators to obtain an overview of access rights and employee data for control, reporting, and internal administration purposes.
System location
The Employee page is located in the system configuration under:
System configuration > Employee
The page and its related extracts are only available to users with the Administrator role.
Types of extracts
Two different types of extracts are available. Both are generated and downloaded in CSV format and can be opened in tools such as Microsoft Excel or other spreadsheet applications.
Access control list
The access control list provides a quick overview of which users have access to the system and which role is assigned to each user.
The CSV file contains the following columns:
- Name
- Status (active or deactivated)
- Role
This extract is typically used for:
- Reviewing active and deactivated users
- Auditing roles and permissions
- Internal security and compliance checks
Employee list
The employee list is a more detailed extract containing both master data and approval setup information across modules.
The CSV file contains the following columns:
- Name
- Employee number
- Department
- Approver name – mileage
- Approver email – mileage
- Approver name – receipt report
- Approver email – receipt report
- Approver name – time registration
- Approver email – time registration
- Approver name – company card expenses
- Approver email – company card expenses
- 60-day rule (Yes or No)
- Administrator (Yes or No)
- Controller (Yes or No)
- Approver (Yes or No)
This extract is typically used for:
- Reviewing employee master data
- Validating approval configurations
- Auditing roles and permissions per employee
- Supporting internal reporting and governance
CSV format and usage
All extracts are delivered in CSV format, which means:
- Data is comma-separated and structured in columns
- The file can be imported into spreadsheets, BI tools, or other internal systems
- Data can be filtered, sorted, and used as documentation
It is recommended to store the files securely, as they contain personal data.
