About Employees
- You must have an administrator role in Mileage Book to add employees who must use Mileage Book, as well as assign them additional rights.
- You can NOT edit an email once it has been entered. In that case, you must deactivate the user and create a new employee. Alternatively, you can contact support@mileagebook.com to have the incorrect email address adjusted.
- You can see the full overview of your employees by using the filters at the top. Remember to press apply at the far right.
- A License must be granted in order for the employee to use the system.
- A removed license from an employee does not automatically write down your licenses but simply releases it for use by another employee. Click here to read more about licenses.
How to create a new Employee
Navigate to System setup > employees > New employee
Required fields: Enter the employee's information. If you forget to assign a license, the employee will still be able to be created but not activated until a license has been assigned.
The remaining info fields are optional and you can choose to use the fields that are relevant for your company. We recommend that you enter the employee's employee number and address so that missing information cannot arise as an issue at a later date. |

Compensation rates: You can also decide whether the employee should receive a travel allowance or whether it is not relevant for the person concerned.
Car: You can enter the employee's license plate if you know it, but this is also something the employee can customize once they are logged into their account in either the app or via the web.
Start-up details : You can specify start-up details about when the employee must have access to the Mileage Book. You can assign a license and make the employee active in the system immediately, but wait to send a welcome email until a later date, so that the first employees will later be introduced to Mileage Book.
License: In order for the employee to be able to activate and use Mileage Book, they must first be assigned a user license. Click here to read more about licenses.
Permissions: In Mileage Book we offer some standard roles, but it is also possible to create your own custom roles with specially defined rights. Some roles such as the fleet manager role, will have an additional dropdown menu where you must decide whether the employee should have access to all departments or only some specific departments. |
