Utilisation
The Utilisation page provides a quick overview of how efficiently your vehicles are used in daily operations. You can see how much they are in use, how much they are idle, and gain insights into how your fleet can be optimised.
You get an overview of how efficiently your vehicles are used within a selected period. You can see what portion of the time the vehicles are in use (driving) compared to how long they are parked.
This allows you to identify vehicles that are idle too often, optimise fleet utilisation, reduce unnecessary costs, and support decisions on reducing the number of vehicles or reallocating them across departments.
If multiple vehicles have a low utilisation rate, it may be a sign that the fleet can be optimised by consolidating usage across fewer vehicles.
How to use the page
First, select a period by setting the From date and To date. The system automatically calculates the total period in hours. You can then filter by department and vehicle to adjust the view. Finally, you can export the data as a PDF or Excel file.
Columns and what they mean
Vehicle shows the name or registration number of the vehicle. Department shows which department the vehicle belongs to. Parked (engine off) shows how many hours the vehicle has not been in use. Driving shows the number of kilometres driven in the selected period. Driving time shows how many hours the vehicle has been in motion. Utilisation rate shows what portion of the time the vehicle is in use.
How the utilisation rate is calculated
The utilisation rate is calculated as (driving time / total period) * 100. This shows what percentage of the time the vehicle is actually being used.
A low percentage means the vehicle is idle most of the time. A higher percentage means the vehicle is used more actively.
