About predefined purposes
With the Predefined Purposes feature, users can select a purpose from a dropdown list instead of entering it manually for each mileage registration.
When the "Select purpose from list" feature is activated on the account, the administrator can create and manage a fixed list of approved purposes. This ensures that employees can only choose from predefined purposes.
If the company also has access to creating Trip Types, a purpose can be linked to a default trip type. When that purpose is selected on a trip, the associated trip type will automatically be prefilled.
This ensures consistent registrations and reduces manual errors.
Setup
- Log on to www.mileagebook.dk
- Select System Setup > Select Purpose Parameters
- Here you must activate the predefined purposes and add the desired purposes.
- To add a predefined purpose, click Add as noted above.
- Then enter the name of the purpose and indicate whether the note or ID field is required. The ID field can, for example, be a project or case number, which must be filled in/selected.
After a purpose has been created, you will be able to connect the purpose to the registered trips. This can be done both on GPS-recorded trips and manually entered trips.
