About "User-defined notifications" and addition of custom files
In Mileage Book fleet management, the fleet manager have the option to set up customized notification emails and associate files from your organization as attachments to those emails. If you have many files you need to upload, you can go directly to Attachments and upload them all. Otherwise, you can simply start by creating your own email notification and here assign a file during the creation of the notification. All files uploaded can only be linked to custom notifications and not elsewhere in the platform.
You can find Custom Notifications and Attachments by navigating to:
System Setup > Fleet Management > User defined notifications/File attachments.

Create custom user-defined notifications
1. Tab: E-mailOn the first page, you can name the notification and who should receive it. You can also choose whether the notification should be active or not. If it is not active, no e-mail will be sent. Once an email notification draft is saved, it can always be found and activated again.

Confirmation linkYou can choose whether the recipient must confirm receipt of the e-mail. You can also choose how many times the recipient must be reminded before it is forwarded to the nearest manager/fleet administrator. The recipient must confirm having seen the email notification by clicking on a link in the email |

Dynamic textInsert dynamic text in your mail notification using data tags.

2. Tab: Triggers
This is where you choose when your custom email should be sent.
It is possible to add multiple triggers to your email.
3. Tab: Files
Here you can add an attachment in your email if you want to use one.
Once you have created the attachment file you want to use, you can add it here by pressing the green 'Add' button.
4. Tab: Email sent
At the last tab, you can see who received this custom email.
Here you can see both the date, name and e-mail of the recipient.
Attachment files
In this section, you can create files that can be attached to your custom notifications. When you press the green 'Add' button, name your attachment and select a file from your computer. After you've done this, remember to hit 'Save' at the bottom.
